What to include on a photography invoice
- The shoot date and location, or the event name
- The package or session, with hours of coverage
- Add-ons: second shooter, extra hours, albums, prints
- The retainer already paid and when
- When the balance is due, often before the event
- Delivery timing and what usage rights the client gets
Tips for photographers
Collect the balance before the shoot
For weddings and events, ask for the final payment one to two weeks ahead so the day itself is about the photos.
Spell out usage rights
Personal use, commercial use and print releases are different things. Say which one the client is paying for.
List what's free, too
A zero-dollar line for the online gallery shows the full value of your package.
Questions
How should I show a retainer on an invoice?
Note the retainer amount and the date you received it, then bill the remaining balance. Keep the retainer terms (usually non-refundable) in your contract.
Do photographers charge sales tax?
In many states, prints, albums and other physical products are taxable, and some states tax the photography service too. Rules vary a lot, so check your state before you send the invoice.
When should I send a wedding photography invoice?
Send the first invoice for the retainer when the client books, and the final invoice a few weeks before the date with a due date ahead of the wedding.
